Projects built in and outside of Canada, which were completed between
January 1, 2003 and September 1, 2009 and for which licensed/registered architects who are Canadian citizens or permanent residents of Canada were the lead design architects, are eligible to be submitted.

Q1 - We would like to submit a project that will be achieving Substantial Completion on Oct.16, 2009. This however does not comply with the statement that eligible project are completed by September 1, 2009. Can this project be considered eligible? If not, will there be an opportunity to submit next year?
A1 – The project would not be considered eligible this year, however, the project would be eligible in 2012.
Q2 - Are Canadian Architect Interns eligible to submit their built project?
A2 - Projects must be submitted by the lead design architect or architect of record.
Q3 - If a project was built when one was an architect intern but now is a certified Architect, is the project eligible for the Governor General's Medal?
A3 – Yes, the project is eligible. The submission must be submitted by the architect or architectural firm who was the architect of record identified at the time of completion.
Q4 – Firstly, would it be possible to present multiple photos and graphic elements on one single 8½x 11’’ page and does this count for one (1) image?
A4 - One image may be a collage of multiple images (photos, diagrams, drawings, graphics, plans, sections, text etc.) the image must be presented on one page in the binder and saved electronically as one file.
Q5 – Can we use both sides of the same page?
A5 – Yes, this will be counted as two pages.
Q6- Can an image be on one side of the page and the descriptive text on the other without it being considered as two (2) pages?
A6 - No, this would be counted as two pages.
Q7 - Can we combine two (or more) photos on the same page ex. to keep the portrait orientation of the page but to put different photos in the upper and lower part of the page?
A7 - One image may be a collage of multiple images (photos, diagrams, drawings, graphics, plans, sections, text etc.) the image must be presented on one page in the binder and saved electronically as one file.
Q8 - Can we use the recto-verso of the 10 pages of the photos or only the recto of the page should be used for photos.
A8 - The use of recto-verso (of one page) is permitted and will be counted as two pages in the submission binder.
Q9 - The submission can contain up to ten plastic sleeves with ten images + text – can (a) the “images” in the sleeves be composed of more than one photograph (b) can one of the “images” be a set of drawings (floor plans + a section)?
A9 - One image may be a collage of multiple images (photos, diagrams, drawings, graphics, plans, sections, text etc.) the image must be presented on one page in the binder and saved electronically as one file.
Q10 - The Project Information / Credit Sheet asks for Construction Budget; our client would like this figure withheld – is this problematic?
A10 - The Construction Budget can be withheld and a note would need to be included in the Project Information/Credit statement; "Construction Budget is withheld at the request of the Client".
Q11 - As per the information listed there are a maximum of 10 images to be included throughout the submission, however can these images be supported by text (other then the project descriptions), or would they need to stand alone.
A11 - One image may be a collage of multiple images (photos, diagrams, drawings, graphics, plans, sections, text etc.) the image must be presented on one page in the binder and saved electronically as one file.
Q12 - According to the information pamphlet, one image must be approximately 14”x 10.5” @ 300 dpi, will the images measuring 8.5x11” @ 300 dpi be accepted as well?
A12 - Yes, we will accept images measuring 8.5"x11" @ 300 dpi.
Q13 - Question #1
When you say "A maximum of ten (10) images (photos, drawings, graphics, diagrams, plans, etc.) may be presented in the binder..." - do you mean 10 pages of graphic information in total or 10 single images only? For instance, if I have 3 floor plans on one page, can I consider them one image, or are they considered three separate images? If I have a collage of images and/or drawings on one spread, do they all count as separate images?
A13- One image may be a collage of multiple images (photos, diagrams, drawings, graphics, plans, sections, text etc.) the image must be presented on one page in the binder and saved electronically as one file.
Q14- Can the binder be portrait but the submission landscape? (open up like a calendar)
A14 - The images can be submitted in landscape format not the text.
Q15 - Does one (1) image imply that the contents on a single page only include one specific photo, drawing, graphic etc.? Or, can (1) image include multiple photos, drawings, graphics that are composed onto one page. Therefore, a composition of photos, drawings and graphics is considered (1) image.
A15 - One image may be a collage of multiple images (photos, diagrams, drawings, graphics, plans, sections, text etc.) the image must be presented on one page in the binder and saved electronically as one file.
Q16 - We normally set up drawings with multiple views of the same object/ subject. Would drawings set up like this be considered as 1 visual or must each view be broken up onto a different sheet and considered multiple visuals?
A16 - One image may be a collage of multiple images (photos, diagrams, drawings, graphics, plans, sections, text etc.) the image must be presented on one page in the binder and saved electronically as one file.
Q17 - Under "1. Format" and "Checklist" it asks for 2 copies of the Project description pages to be in the second transparency sleeve but under "3. Project Descriptions" it asks for 2 copies of the Project descriptions to be put behind the Project Information/ Credit sheet in the first transparent sleeve. Considering this submission process is very structured, I do not want to assume one way or the other.
A17 - Please follow the instructions provided in the Checklist.
Q18 Are you allowed to include a brief description of each photo describing what you are seeing in behind the Number Key List of Images even though it is not necessary to do so for each photo? Or is this form of description preferable on the "visual" sheet as a picture description combo like in magazines and articles.
A18 - A very brief description can be included on the Number Key List of Images. Descriptive text can be added to the visuals. See response to Q1.
Q19 - Is it necessary to use plastic sleeves or can the pages be hole punched and inserted into the binder?
A19 - Plastic sleeves are required to ensure that the submission materials are protected during shipment and archiving.
Q20 - May we submit 5 pages double sided rather than 10 pages single sided.
A20 - Yes, you may submit 5 pages double-sided.
Q21 - Can there be multiple images on each of the 10 pages or should there only be one image per page.
A21 - One image may be a collage of multiple images (photos, diagrams, drawings, graphics, plans, sections, text etc.) the image must be presented on one page in the binder and saved electronically as one file.
The winning entrants will be notified privately of the results approximately four months after the deadline date. It is expected that the public announcement and an awards ceremony will be held in 2010 in Ottawa. Travel to the ceremony for the medalists is at their own expense.
